1. Before Applying

What types of accommodation are available?

We offer single rooms in shared flats, furnished or semi-furnished single apartments, furnished or semi-furnished double apartments, family apartments for parents with children, couple apartments, and handicap-accessible apartments.

Who is eligible?

Students enrolled at the following institutions are eligible:

  • University of Mannheim
  • Mannheim University of Applied Sciences
  • DHBW Mannheim
  • Mannheim University of Music
  • Popakademie.

Students enrolled in Mannheim institutions are given priority. Applicants from other universities may still apply by selecting “Other” or Medizinische Fakultät Mannheim-HD during the online application process, but the chances of receiving accommodation are generally lower.

Am I guaranteed accommodation?

No. Due to high demand we cannot guarantee a room. Please apply as early as possible, even if you have not yet received your admission letter.

Are the rooms furnished?

Shared flats are usually furnished. Single and double apartments are available furnished or semi-furnished. Semi-furnished means a kitchen is provided, but no additional furniture.

2. Application

How do I apply?

Applications are submitted exclusively online. You may apply up to four months before your preferred move-in date. The application form is available in German and English.

Can I submit more than one application?

Yes. Only your most recent application however will be considered. Multiple applications does not increase your chances.

When will I receive a reply?

Room allocation usually starts 8–10 weeks before the contract begins. Depending on availability, you may receive an offer shortly before your intended move-in date.

Can I ask about my application status?

Yes. Contact us by phone (+49 621 49072-888) or email (wohnen@stw-ma.de).

Will I receive more than one offer?

No. Each application can receive a maximum of one housing offer.

What if I do not receive an offer?

If we cannot offer you accommodation, we will inform you. You may submit a new application for a later move-in date.

3. Housing Offer

What should I do after receiving an offer?

Read the offer email carefully. It contains all deadlines, required documents and instructions for accepting or declining the offer.

What information does the offer include?

Your contract states the

  • room type,
  • residence hall,
  • address and
  • room number

The following room-types are offered:

  • Single rooms in a shared flat (WG)
  • Single apartment (furnished or semi-furnished)
  • Doublette (furnished or semi-furnished)
  • Parent-Child Apartment
  • Couples Apartment

Note: semi-furnished apartments and doublets have a kitchenette but no other furnishings.

Can I accept without being enrolled?

Yes. Your certificate of enrolment must be submitted no later than the start of the tenancy.

What if I am not admitted?

Please inform us as soon as possible so we can review the situation according to the contractual regulations.

How is my room selected?

We consider your preferences whenever possible, but allocation depends on availability.

Can I view the room beforehand?

Unfortunately, room viewings are not possible. You are welcome to visit the residence from the outside.

Where can I find information and photos?

You can find information, amenities, and photos on our website. Unfortunately, additional photos or floor plans are not available.

Can I change the residence, room or contract start date?

No. Changes are generally not possible. A different contract start date requires a new application.

What if I miss the acceptance deadline?

The offer expires automatically and a new offer cannot be guaranteed.

How do I pay the rent and deposit?

The first rent payment and deposit are due by the contract start date. If you have signed a SEPA mandate, future rent will be collected automatically.

How do I pay if I do not have a German bank account yet?

Not a problem. The initial payment can be made by bank transfer and the SEPA mandate can be submitted later. The bank information can be found on the bottom of the 1st page of your rental agreement.

4. Move-in

How do I book a move-in appointment?

Use our online booking tool. You will receive further information by email.

Can I move in earlier or later?

Earlier move-in is not possible. A later move-in is possible but does not change the contract start date or rent.

When can I move in?

Move-ins are possible during service hours. Many residences also offer key boxes for collecting your keys.

What do I do if I cannot find an appointment?

New appointments are released regularly. Please check the booking system frequently.

When will I receive access to the tenant portal (Mieterportal 24h)?

You will receive your login information before your tenancy begins.

5. Living in the Residence Hall

What is the Mieterportal 24h?

The Mieterportal 24h is a an online-tenant-portal for all tenants living in one of our student residences.

The portal allows you to:

  • book appointments
  • report maintenance issues
  • upload enrolment certificates
  • update your personal and bank details
  • apply for contract extensions or transfers

What is included in the rent?

In most cases the rent includes utilities such as water, electricity, heating, internet and caretaker services. Please refer to your rental agreement for details.

Is internet available?

Almost all residence halls provide a LAN connection. Many have WiFi-routers in the rooms to be used. You may use your own Wi-Fi router.

Are washing machines available?

Yes. There are both washing machines and dryers available.

May I have visitors?

Yes. Guests are welcome, but permanent overnight stays and subletting without permission are not allowed.

May I keep pets?

Please refer to your rental agreement, house rules and General Rental Conditions.

Can I sublet my room?

Subletting is only permitted with prior approval and under certain conditions.

Can I extend my contract?

Extensions are possible subject to approval. Applications must be submitted at least three months before the contract ends.

Contracts do not renew automatically.

Can I change rooms?

Room changes are generally not possible and are only considered in exceptional cases.

How do I change my bank details?

Update them through the Tenant Portal or notify us in writing.

What do I do if I have lost my keys?

During office hours contact the Hausbetreuung immediately.

Outside office hours contact the emergency service. Emergency opening is subject to a charge.

6. Moving Out

Do I need to terminate my contract?

Fixed-term contracts end automatically. If you wish to move out earlier, the notice periods in the General Rental Conditions apply.

How can I terminate my tenancy?

Regular termination periods depend on your institution. The tenant has the right to terminate the lease in writing, subject to a three-month notice period, effective August 31, September 30, or depending on which institution the tenant is affiliated with.

In addition, the following different termination notice periods apply depending on the tenant’s institution:

  • February 28: Students at Mannheim University of Applied Sciences
  • March 31: DHBW, Popakademie, Mannheim University of Music
  • July 31: Students at the University of Mannheim

Terminations due to withdrawal from the university take effect 4 weeks before the end of the month following submission of the withdrawal certificate.

What should I do before moving out?

Book your move-out appointment in time. The room must be completely emptied, cleaned and all keys returned.

When will my deposit be refunded?

Normally within 6–8 weeks after the tenancy ends, provided there are no outstanding claims.
